Counseling Office VISION Terms of Service

【About our counseling and trauma therapy】
・Counseling and trauma therapy in our office is based on psychological theories and methods and is not a medical procedure.
・Fees are not covered by medical insurance or medical expense deductibles.
・As counseling and trauma therapy, we use methods that have been proven effective as a result of scientific research and studies. However, the manifestation of effectiveness varies from person to person, and we do not guarantee the effectiveness.
・Depending on the client’s condition, we will provide the best counseling and trauma therapy available based on our knowledge and experience. However, the manifestation of effects may vary from person to person, and we cannot guarantee the effectiveness of the therapy.
・Counseling and trauma therapy is a collaborative process between client and counselor/therapist. In some therapies, the client’s willingness and effort is particularly required.
・When clients are interviewed by our initial counselor/therapist, a second and subsequent interview may be assigned to a different counselor/therapist better suited to the client’s needs.
・If you wish to change your assigned counselor/therapist, the current counselor/therapist will consult and confirm with you before handing over the case to the next counselor/therapist.

 

【Confidentiality policy】
・The Counseling Office is bound by confidentiality agreements because of the sensitive nature of personal information. We cannot give out personal information without the client’s permission, even to family members.

・However, in situations where there is a risk of inflicted injury or other harm, or where there is a possibility of life-threatening situations, we may exceed our confidentiality obligations and collaborate with family members and related agencies.
・Our counselors/therapists will discuss to determine how best to provide counseling/trauma therapy for each client.
・We may conduct case studies, conference presentations and publications with external parties. In such cases, we will obtain the client’s prior consent. We will not conduct any of the activities above without the client’s consent.
・If abuse is suspected, we will notify the relevant authorities. Under the law, the obligation to notify takes precedence over the obligation to maintain confidentiality.
・If required by law, we will notify the relevant authorities. If the case is considered to be related to illegal or offensive activities or ordinances, the obligation to report the case takes precedence over the obligation to maintain confidentiality.
・If the situations related to a court case, information will be shared with the relevant authorities. This includes cases in which we consult with attorneys and/or police, regarding problems with clients.

 

【About medical collaboration】
・In order to safely provide counseling and trauma therapy, if the client is attending a medical institution such as a psychiatrist or psychosomatic medicine, we will work in collaboration with that institution.

・As a general rule, the counselor will mail a counseling notification letter to the client’s doctor after the counseling/trauma therapy begins.
・No document issuance fee will be charged for notification letters. Depending on the client’s condition, we may recommend seeking medical treatment.
・Our services cannot be used when it is determined that therapy cannot be provided safely without access to appropriate medical care.

 

【Reservation Policy】
・Counseling sessions are by appointment only. Counseling time cannot be extended or changed on the same day.

・Reservations can be made in person using the “Square” reservation and payment system. Reservations can also be made at the reception desk or by phone.
・No counseling appointments can be scheduled if there are unpaid debts.
・100% of the fee will be charged for same-day cancellations or no-show cancellations, and 50% of the fee will be charged for cancellations made the day before.
・If you wish to have online counseling, we will charge you the counseling fee at the time of booking (email invoice, credit card payment). If payment is not received by the day after the email invoice, your reservation will be cancelled.
・Continuation of counseling/trauma therapy is based on the client’s wishes and is not mandated by the counselor.
・If a client violates the terms of the agreement, or if a situation arises that makes it inappropriate to continue counseling/trauma therapy, no further use will be permitted.

 

【About usage fees】
・General counseling and trauma therapy is 12,000 yen for 50 minutes.

(Only general counseling and trauma therapy provided by the representative cost 15,000 yen.)
・Counseling and trauma therapy for minors (under 18 years old) is 12,000 yen for 50 minutes.
(Only counseling and trauma therapy for minors provided by the representative cost 15,000 yen.)
・Counseling and trauma therapy for athletes and artists is 30,000 yen for 50 minutes.
・Counseling and trauma therapy for Management is 45,000 yen for 50 minutes.
・100% of the fee will be charged for same-day cancellations or no-show cancellations, and 50% of the fee will be charged for cancellations made the day before.
・Payment can be made by any of the payment methods available on the Square reservation and payment system including cash, credit card, e-money, QR code payment. Please refer to the Square website for details. *Please note that payment by cash is only accepted for in-person counseling and trauma therapy. For online counseling and trauma therapy, payments can be made only via credit card, e-money, or QR code.

 

【Other safety considerations】
・You cannot use our office for any purpose other than counseling and trauma therapy.

・No goods or other items may be handed over during counseling.
・As a rule, clients’ records of information obtained during counseling are kept for five years.
・If the client is a minor (under 18 years old), a guardian’s consent is required in principle. Please come with the client on the day of the session or call us to confirm consent.
・Counseling/trauma therapy may be provided without consent if it is deemed unavoidable, such as when a parent or guardian is involved in a trauma-related situation.
・If the client is male and the counselor is female, the first session of counseling and trauma therapy will be online.
・At the discretion of the office, the client may be asked to continue online counseling/trauma therapy after the second session.
・Unauthorized recording, videotaping, or filming of counseling sessions as well as the release of recorded, videotaped, or filmed data to outside parties for any purpose other than for agreed-upon legitimate is prohibited.
・We will decline request of our services if a client engages in abusive language, violence, shouting, threats, intimidating behavior, damage to property, or any other violent or disruptive behavior toward our staff or other clients.
・As a general rule, we do not provide counseling or consultations via email or telephone. Please book an in-person or online counseling session to discuss your concerns. Administrative staff will respond via email or telephone only regarding matters such as scheduling and payment.
・This office is not a medical institution and cannot provide emergency services. Please contact your regular medical provider or the police in the event of an emergency. We may contact your medical provider or the police if we determine it is necessary to do so.
・This office is located in Niigata City, Niigata Prefecture, Japan. All matters arising from the use of our services—including counseling for overseas clients and online counseling—shall be governed by Japanese law. The Japanese court with jurisdiction over the location of this office shall have exclusive jurisdiction as the court of first instance.
